How RFQ Works
The RFQ (Request for Quote) module adds a “Request a Quote” button to products. Customers build a quote cart, submit a request, and you review it in the admin, adjust pricing, and send back a formal quote. Accepted quotes convert to a WooCommerce order so the customer can pay through your normal checkout.
Setting It Up
- Enable the RFQ module under Settings → Modules
- (Optional) Enable Access Control and set the replacement action to Request a Quote for guests or non-B2B roles, so restricted visitors quote instead of buying
- Customers then see a “Request a Quote” button and a modal form on product pages
- Submitted quotes appear under B2B Suite → Quotes / RFQ
RFQ Settings
Under Settings → RFQ & Quotes:
- Button Text — the label on the request button (defaults to “Request a Quote”)
- Enable PDF — generate a downloadable PDF for each quote
- Auto-approve — automatically approve incoming quote requests
- Send Payment Link on Acceptance — on by default; when a quote is accepted, automatically email the customer the native WooCommerce “Pay for Order” link
Managing a Quote in the Admin
Open any quote under Quotes / RFQ to:
- Edit line items — change the unit price and quantity of each line; line totals, subtotal, and grand total update live as you type
- Add products — find products with WooCommerce product search and add them to the quote
- Remove line items you no longer need
- Apply a discount — enter a discount amount and the grand total recalculates automatically (the discount can never exceed the subtotal)
All totals are recalculated and saved on the server, so the stored figures always match the line items.
Quote-to-Order Conversion
When a quote is accepted it is converted to a WooCommerce order in Pending payment status, and the customer is emailed WooCommerce’s native Pay for Order link so they can complete payment through your normal checkout — an end-to-end quote-to-payment flow with no manual steps.
- You can also trigger this on demand with the “Accept & Send Payment Link” button on the admin quote screen.
- Conversion is guarded against duplicates — a quote can never generate two orders.
- Once converted, the quote is locked from editing to protect the order it generated.
Customer-Facing Quotes
Customers view all of their quote requests under My Account → Quotes, where they can download the PDF and accept a quote. The quote cart can also be embedded with the [catoz_b2b_quote_cart] shortcode, and a customer’s quote list with [catoz_b2b_my_quotes].
