Syncing Customers

Customer Sync Overview

Customers sync one-way from WooCommerce to ERPNext. WooSync creates ERPNext Customer, Contact, and Address records from WooCommerce customer and order billing data.

Store Configuration for Customers

In your Caz Woo Store record, under Customer Sync Settings:

  • Sync Customers from WooCommerce — Enable to create new ERPNext Customers from WooCommerce customer records.
  • Update Customers from WooCommerce — Enable to update existing Customer records when WooCommerce customer data changes.
  • Default Customer Group — Customer group assigned to all WooCommerce-imported customers.
  • Default Territory — Territory assigned to all WooCommerce-imported customers.

What Gets Created

Customer Record

  • Customer name (from billing first + last name, max 140 characters)
  • Customer type: Individual
  • Customer Group and Territory from store defaults

Contact Record

  • First name, last name
  • Email address (primary)
  • Phone number (max 20 characters)
  • Linked to the Customer record

Address Records

  • Billing address (always created)
  • Shipping address (created only if different from billing)
  • Country resolved from ISO 2-letter country code
  • Linked to the Customer record

Customer Matching

WooSync uses the Caz Woo Customer Mapping DocType to track the WooCommerce customer ID ↔ ERPNext Customer link. On each sync, it:

  1. Looks up the mapping table by WooCommerce customer ID
  2. If no mapping found, searches for an existing Customer by email
  3. If no Customer exists, creates a new one
  4. Updates contact and address records regardless

Guest Customers (Orders without Accounts)

WooCommerce allows guest checkout without creating an account. For guest orders, WooSync creates an ERPNext Customer based on the billing email. If the same email appears in a future order, it reuses the existing Customer record.
