Troubleshooting

No Reminders Being Sent

Check 1: Engine Enabled

Go to Approval Reminder Settings and confirm Engine Enabled is checked. This is the global master switch.

Check 2: Rule Enabled

Open the rule and confirm the Enabled toggle is on.

Check 3: Send Window

The scheduler may be running outside the configured send window. Try clicking Process Reminders Now in Settings to run on demand, or temporarily widen the send window for testing.

Check 4: Pending Days Threshold

If your rule has Pending Days set to 5, documents pending for only 2 days will not trigger any reminders yet.

Check 5: Scheduler Running

Confirm the Frappe scheduler is active:

bench --site your-site.com doctor

Look for scheduler status in the output. If it’s not running, start it with bench start or check your supervisor/systemd configuration.

Approvers Not Being Resolved

If reminders are sent but no approver is found (Skipped status in the log), the engine could not resolve any approver for the document. Check:

  • The document has an active Frappe Workflow attached
  • The workflow has transitions that require approval (with permitted roles or users set)
  • The document has been assigned to a user via the Assign button, OR the workflow transition permits a role and there are users with that role
  • The resolved users have valid, enabled accounts with email addresses

Duplicate Reminders Being Sent

This should not happen due to built-in de-duplication. If you see duplicates:

  • Check if multiple rules match the same document (two rules for the same DocType and state)
  • Check if the scheduler is running more than once (misconfigured cron + supervisor both running)

Emails Not Arriving

If the Reminder Log shows Status = Sent but the recipient did not receive the email:

  • Check your Frappe email outbox (Settings > Email Queue) for errors
  • Confirm your outbound email account is configured and working
  • Check the recipient’s spam folder

Checking Logs

tail -f /path/to/frappe-bench/logs/worker.error.log

The engine logs detailed information for each rule run, including documents found, approvers resolved, and any errors encountered.

Getting Support

Email [email protected] with your Frappe version, the Rule Name, a Reminder Log entry ID showing the issue, and relevant lines from your worker error log.
