Why Send Windows Matter
Sending approval reminders at 2 AM or on Christmas Day is counterproductive. The send window and holiday features ensure reminders are dispatched only when recipients are likely to be working.
Send Window
In Approval Reminder Settings, set a Send Window Start and Send Window End time. The daily scheduler still runs at its usual time, but reminders are only dispatched if the current server time falls within the configured window.
Example: With a window of 09:00–18:00, the scheduler may run at 08:00 (outside window) and queue no emails. At 09:05 — if the scheduler fires again or is triggered manually — reminders go out.
Holiday List
Link a Holiday List in Settings. On any date present in the holiday list, the engine skips all reminder dispatches for the day. The documents are not forgotten — they will be picked up on the next working day the scheduler runs within the send window.
Setting Up a Holiday List
- In Frappe / ERPNext, go to HR > Holiday List > New (or Setup > Holiday List)
- Add your company’s public holidays
- Link the list in Approval Reminder Settings > Holiday List
Skip Weekends
Enable Skip Weekends in Settings to suppress all reminders on Saturday and Sunday, regardless of the send window or holiday list. Useful for companies that operate Monday–Friday only.
Interaction Between Settings
All three checks are applied in order — a reminder is only sent if:
- The current time is within the send window AND
- Today is not in the Holiday List AND
- Today is not a weekend (if Skip Weekends is enabled)
